Inbox

Your inbox shouldn't be where work goes to die.

We sort your email, flag what matters, draft replies for you to send, and keep the noise out of your day.

The pile-up

You open your phone at 6am. You haven't even had coffee. You already feel behind.

47 unread. Three from suppliers about back-orders. One from a property manager in Tysons who needs a quote turned around today. One from the city about a permit. Two from techs about parts. The rest is junk — newsletters, vendor pitches, the thing your accountant forwarded you twice.

You spend 20 minutes triaging before you've started your day. You miss the property manager email, because it's buried under a marketing blast that landed at 5:55am. You don't get back to her until 4pm. By then she's already given the quote to someone else.

That's not an email problem. That's a "your most expensive hour of the day is being spent on the lowest-value work" problem.

What it does

Reads everything. Sorts everything. Drafts the routine ones.

01
Reads your inbox every 15 minutes.

Checks Gmail or Outlook on the schedule we set. Doesn't skip emails. Doesn't get tired.

02
Tags by sender type.

Customer. Supplier. Tech. Internal. Vendor pitch. Junk. The tags appear as labels in your existing email — nothing new to learn.

03
Pulls out the ones that need you.

The property manager wanting a quote today goes to the top of a "Needs You" folder. The supplier confirming a back-order goes to "Acknowledged." The newsletter goes to junk. You see what matters first, on every device, in the email app you already use.

04
Drafts replies for the routine ones.

Booking confirmations. Invoice questions you've answered fifty times. Parts orders. Quote follow-ups. The draft is in your Drafts folder waiting for you to glance at and send. You're not writing email. You're approving email.

05
Surfaces follow-ups you forgot.

"You haven't replied to this in three days." "This quote went out two weeks ago and they didn't respond — want to nudge?" "Your tech said he'd send the photos, no photos yet." It catches the dropped balls before they cost you.

Where we draw the line

It only does what we tell it to do.

It doesn't send anything without your approval. Drafts only. You click send.

It doesn't touch your personal email. We connect to one inbox, the one you tell us, and we leave the rest alone.

It doesn't read attachments it shouldn't. Contracts, NDAs, anything you mark sensitive — those skip the AI and go straight to you.

It doesn't delete email. It only reads, tags, and drafts. Nothing leaves your inbox unless you delete it.

It doesn't mass-blast your customers. Outreach to your customer list is a separate decision and a separate tool. Inbox just handles what comes in.

Setup

Five to seven days. Most of it is us watching, not you working.

D 1–4
Days 1–4.

We watch your inbox for the first four days. Read-only. We learn what comes in, who sends it, what you reply with, and what you ignore. We don't draft anything yet. We just learn your patterns.

D 5–6
Days 5–6.

We build the rules. Tag categories. Routine reply templates. Follow-up rules. You see the rules before they go live. You change anything you don't like.

D 7
Day 7.

Goes live in draft mode. Every reply sits in Drafts for you to approve.

WK 2
Week 2.

If you want, we move some of the truly routine ones to auto-send (booking confirmations are usually the first). Everything else stays in draft mode permanently if that's what you prefer. Your call.

Guarantees

What you don't pay for

If we can't save you eight hours a week in the first 90 days, we tell you and we stop the retainer. No charge for month four onward until it's working.

No long-term contracts. Month-to-month after setup. Cancel anytime.

You own everything we build for you. Your tag rules, your configured reply templates, your follow-up logic — all yours.

If you cancel, your inbox goes back to its normal sorting. Tags can stay or get removed. Your call.

Common questions

What we get asked about Inbox.

How does AI email sorting work for service businesses?

We connect to your existing email (Gmail or Outlook), watch how you triage for a week, and then build sorting rules and reply templates that match your patterns. Your inbox starts looking organized within a week of going live.

Do I have to switch email providers to use AI inbox tools?

No. It runs on top of your existing email. We don't move you. Gmail, Outlook, Google Workspace, Microsoft 365 — all work.

Will AI send emails to my customers without my approval?

Not by default. Drafts only. You click send. After a few weeks, if you want to auto-send the truly routine ones (like booking confirmations), that's your call to make later. Default is permanent draft mode.

What about emails from clients I want to handle personally?

Mark them VIP — by sender, domain, or even keyword. Those skip the AI entirely. They land in your inbox untouched.

What if AI tags an email wrong?

Tell us and we update the rule the same day. Expect accuracy to climb noticeably over the first two weeks as we tune.

Can my dispatcher or partner use the same sorted inbox?

Yes. The tags help them too. Multi-user inboxes are common. We set up permissions in week one.

Can AI handle attachments — invoices, photos, contracts?

It tags them but it won't open contracts or anything you mark sensitive. Photos and invoices it handles routinely.

How much does AI inbox sorting cost for a small business?

$1,000 as a one-time Jumpstart build, or the Founding tier at $2,500 setup + $750 per month, which covers Calls, Inbox, and Jobs together — and for the the $2,500 setup is waived in exchange for a testimonial, so it starts at $750 per month. For comparison, an hour of your time is worth $100–$300 to your business. If we save you eight hours a week, the math works the first week. Setup and monthly fees are also typically a tax-deductible business expense — confirm with your tax preparer.
