The chaos

By Friday afternoon, three jobs that should've closed this week are on next week's board.

You've got six techs running between Reston and Ballston. You're scheduling on a whiteboard, a Google Sheet, and a group text.

Tech A texts at 11am — he's running 90 minutes late. Now you're rebuilding the afternoon in your head while you're driving. The customer at 2pm doesn't know yet. You'll text her. You'll forget. She'll call angry at 2:15. The next job slips into tomorrow.

A customer cancels. You've got a slot. You've got three other customers who said "anytime this week works." Did anyone call them? You don't remember. The slot stays empty.

A job you closed Tuesday — you forgot to send the invoice. You'll do it Friday. Customer pays the following Tuesday. Two weeks of cash flow because of a piece of paper.

Multiply by six techs and 50 jobs a week. That's your operations problem.

What it does

A live board. Every job, every tech, every status. Updates itself.

01

Live job board. Every active job, every tech, where they are, what status the job is in. Updates the moment something changes. You can see the whole week from your phone.

02

Auto-fills cancellations from your standby list. When a customer cancels, the system pings the next three customers on your standby list — the ones who said "anytime this week." First one to confirm gets the slot. You don't lose the day.

03

Texts customers when their tech is 30 minutes out. Reduces no-shows. Reduces "where's my tech" calls. Reduces the small fires that eat your afternoon.

04

Catches jobs slipping past their target date. "This job has been 'awaiting parts' for nine days. Want to chase the supplier?" "This invoice is unsent — sent it now or schedule for Friday?" "This customer hasn't confirmed in 72 hours — auto-nudge?" The dropped balls show up before they hit the ground.

05

Generates the paperwork at job close. Work order. Invoice. Follow-up email. All drafted from the job data. You review, send, done. The job goes from "complete" to "paid" in days, not weeks.

Cycle time

The model: cycle time from 9 days to 5 in the first 90 days.

Cycle time = call → invoice paid. Not just call → job done. Most owners track the second number. Cash comes from the first. The 9-day baseline is our working model for a typical 1–10 tech operation. The 5-day target reflects what's achievable with Calls + Inbox + Jobs in place. We publish real numbers as we get them, rather than borrowing someone else's.

A 9-day cycle and a 5-day cycle look similar in your day-to-day. They're radically different in your bank account at the end of the quarter. The same techs, the same customers, the same trucks — but the money comes in faster, more often, and more predictably.

The math: a business doing 50 jobs a week at 9-day cycle has roughly 65 jobs in flight at any time. The same business at 5-day cycle has 36. Less inventory of "stuck" work. Less chaos. More room to take the next job.

Calls and Inbox each take a bite of cycle time at the start. Jobs takes the bite in the middle and at the end.

Where we draw the line

It doesn't try to be your dispatcher. You're the dispatcher. It just stops you from forgetting things.

It doesn't tell your techs how to do their job. It doesn't show up on their phone with a new app to learn. They text the way they text. The system reads the texts.

It doesn't replace your judgment on who goes where. You assign. You override. The board reflects what you say.

It doesn't lock you to one platform. We integrate with ServiceTitan, Housecall Pro, Jobber, and Google Sheets. If you're already paying for software, we work with it. If you're not, we use the simplest thing that works.

It doesn't auto-text customers things you didn't approve. Templates get reviewed in setup. Custom messages stay manual.

Setup

Two to three weeks. The heaviest of the three builds.

W1

Week 1. We map your current process. Where jobs come in, where they go, who touches them, where they get stuck. We watch a real week of your operations — the texts, the emails, the whiteboard photos.

W2

Week 2. We build. The board, the integrations with whatever software you already use, the standby-list logic, the customer-text templates, the slip-detection rules.

W3

Week 3. Goes live. We watch the first 50 jobs end-to-end with you. Tune the rules. Tune the templates. Tune the slip thresholds.

M2+

Month 2 onward. Monthly check-in. Quarterly cycle-time review. Your business changes, the rules change with it.

What you don't pay for

If we can't save you eight hours a week in the first 90 days, we tell you and we stop the retainer. No charge for month four onward until it's working.

We also expect measurable cycle-time reduction in that same window — if it isn't there, we'll tell you that too.

No long-term contracts. Month-to-month after setup. Cancel anytime.

You own everything we build for you. Your configured templates, your rules, your integrations, your dashboards — all yours.

If you cancel, your job board goes back to your whiteboard, your Google Sheet, or whatever you used before. Customer texts revert to manual. Nothing is locked.

Common questions

What we get asked about Jobs.

How does AI dispatch software work for small service businesses?
It sits on top of whatever you already use — ServiceTitan, Housecall Pro, Jobber, or a Google Sheet — and watches the texts, calls, and emails that touch each job. It catches jobs slipping past their target date, auto-fills cancellations from your standby list, texts customers when techs are 30 minutes out, and generates closing paperwork. You stay the dispatcher. It just stops you from forgetting things.
I already have ServiceTitan or Housecall Pro. Do I need an AI job board?
Not a replacement. Those tools cover scheduling. They don't cover the gaps — slip detection, standby-list auto-fill, customer texts, cycle-time tracking. We build on top of what you have. If you already run ServiceTitan or Housecall Pro, we scope a Jobs build that fills the gaps and integrates cleanly.
Will my techs have to use a new app for AI dispatch?
No. Most of the changes happen on your side. They text the way they text. They check the schedule the way they check the schedule. The board is for you.
What if the AI is wrong about a job delay or status?
You override it. The board reflects what you say. The system learns from the override.
Can AI dispatch handle multiple service business locations?
Yes — that's a Custom build. We've designed it for two-location businesses. Three or more, we'll quote separately.
How does AI dispatch handle parts ordering and supplier follow-up?
Tracked but not automated. The system flags "awaiting parts" jobs at the threshold you set (3 days, 5 days, 7 days). You decide whether to chase the supplier or let it ride.
Does AI dispatch integrate with QuickBooks or other accounting software?
Yes. Invoices generated by the system push into QuickBooks, Wave, Xero, or FreshBooks. We handle the connection.
How much does AI dispatch software cost for a small service business?
The full Jobs build is included in our Founding tier ($2,500 setup + $750/mo) alongside Calls and Inbox — the complete front office. Founding + Web adds the website tier that fits, at menu price (from $2,749 + $789/mo); the Jobs build is the same. Multi-location is Custom and quoted by scope. Setup and monthly fees are typically a tax-deductible business expense — confirm with your tax preparer.

Photo of your whiteboard works. Screenshot of your Google Sheet works. Live walkthrough of your ServiceTitan dashboard works. We'll look at the bottlenecks and tell you where your first two days of cycle time are hiding.
